Privacy Policy

ClarityLog ("ClarityLog", "we", "us") helps pre-licensed mental health clinicians track supervised hours, supervision, evaluations and session notes on the path to licensure. This policy explains what we collect, why, who we share it with, and the choices you have. It applies to the ClarityLog website and web app at To be confirmed: website address, and related emails and text messages (the "Service").

The short version
- Your records belong to you. We never sell your data or use it for advertising.
- Session notes stay out of AI features unless you turn AI on for notes in Settings.
- We ask you to record clients by initials only and to leave out names, dates of birth and other identifying details.
- You can export everything at any time, and you can ask us to delete your account.
Information we collect
Account information. Your name, email address, password (stored only as a salted hash), state, license type and stage, license number and employer if you add them, and your supervisor's name and email if you link one.
Records you create. Hours and session entries (date, time, duration, session type, site, client initials), session notes, supervision sessions, reporting periods, credentials such as licenses and malpractice insurance with their expiration dates, continuing-education records, and imported hour totals.
Documents you upload. Evaluation forms, hour logs, CE certificates and credential documents, and the information we extract from them.
Supervisor information. If your supervisor uses ClarityLog, they can see the records you choose to share with them, and they may create evaluations and supervision notes about you.
Messages. If you link a phone number, the text messages you send to log sessions. If you use the copilot, your chat messages and its replies.
Payment information. If you buy ClarityLog, our payment processor (Stripe) collects your card details. We receive only a confirmation, the last four digits and the card's expiration date.
Technical information. IP address, device and browser type, and error reports. We do not use advertising trackers or sell data to data brokers.
About client information
ClarityLog is built for de-identified records. Please identify clients by initials only, and do not enter names, dates of birth, addresses, contact details, record numbers or other identifiers.
ClarityLog is not a HIPAA business associate and does not sign Business Associate Agreements. Do not use it to store protected health information.
You are responsible for making sure that what you record complies with your professional, ethical and legal obligations, including your employer's and your board's rules.
How we use information
- To provide the Service: tracking hours against your board's requirements, calculating ratios and deadlines, generating reports and exports, and sharing progress with your supervisor when you choose to.
- To send service messages, such as reminders, weekly recaps you have turned on, security notices and receipts.
- To keep the Service secure, prevent abuse, and fix problems.
- To improve the Service, using aggregated or de-identified information.
- To meet legal obligations.
AI features
ClarityLog uses Anthropic's API to power some features, such as reading uploaded documents, writing evaluation summaries, the weekly digest and the copilot.
Session notes are not sent to AI unless you turn on "Use AI with my session notes" in Settings. With it off, the digest and copilot use only your hours, dates and session types. With it on, the text of your notes can be sent to Anthropic to generate a response. You can turn it off at any time.
Anthropic processes this data on our behalf and does not use it to train its models. Under review
AI output can be wrong. Review it before relying on it, and never use it as a substitute for clinical judgment or supervision.
How we share information
We do not sell or rent personal information, and we do not share it for cross-context behavioral advertising. We share it only:
- With your supervisor, when you link them or create a share link.
- With service providers that process data on our behalf under contract:

- For legal reasons, when required by law or to protect the rights, safety or property of users or others.
- In a business transfer, such as a merger or sale, subject to this policy.
Security
Data is encrypted in transit (TLS) and at rest by our database and hosting providers. Passwords are hashed. Access to production systems is limited. No system is perfectly secure; if a breach affects your information, we will notify you as required by law.
Under review
Retention
We keep your information while your account is open. If you delete your account, we delete your records within [30] days, except where we must keep information to meet legal obligations, resolve disputes or enforce agreements. Backups are overwritten within [N] days.
Your choices and rights
- Access and export: download your records from Settings at any time.
- Correction: edit your records in the app.
- Deletion: ask us to delete your account at claritylogpro@gmail.com.
- AI on notes: turn it on or off in Settings, under Privacy & AI.
- Email: unsubscribe from non-essential email with the link in each message.
Depending on where you live, you may have additional rights, such as the right to know, delete, correct or limit the use of personal information. We will not discriminate against you for using them. Contact claritylogpro@gmail.com.
Children
ClarityLog is for professionals and is not directed to anyone under 18.
Changes
We will post changes here and update the effective date. If a change is material, we will notify you by email or in the app before it takes effect.
